WhatsApp appointment reminder templates that actually get a reply
A good reminder does two jobs: it stops the no-show, and when the client genuinely cannot come, it gets them to tell you early enough to fill the slot. A bad one gets muted, or gets you reported.
Below are templates you can copy, grouped by industry and by the job the message is doing. All of them assume you are sending from your own number, which is what makes the message read like you rather than like a notification from a system the client has never heard of.
What every good reminder contains
Three lines is enough. A useful reminder answers three questions, in this order:
- Who is writing. Your client either has your number saved or they don't. If they don't, a message opening with "This is a reminder of your appointment" is indistinguishable from spam.
- When the appointment is. Day and time, spelled out. Not "tomorrow" — give the date.
- What to do if they can't make it. This is the line most people skip, and it is the one that recovers the slot.
What it should not contain: piles of emoji, capitals, shortened links, or the word "offer". All of those push the message towards a spam report.
The variables you can use
WA Reminders swaps these for the real value at send time. They are written in double curly braces:

Two things worth knowing before you build your templates:
- There is no client-name variable. If you sync with Google Calendar and want the message to use the name, put the name in the event title and use
{{event_title}}. An event calledCleaning — MariaturnsHi, reminder of your {{event_title}}into something personal with no extra work. - On all-day events the time variables come out empty. An event with no set time is anchored internally to a time purely so the send can be scheduled; showing that time would tell the client something untrue, so
{{hh}}and{{HH}}are left blank. Date variables still work.

Ask for a one-word answer. The easier it is to reply, the more people reply:
Hi, reminder of your appointment on {{DD}} {{MM/DD}} at {{HH}}.
Can you still make it? Reply YES or NO and I'll plan around it.
This is the template that recovers the most slots, because it turns a silent no-show into a cancellation you can act on.
Rescheduling
Hi, I need to move your appointment on {{MM/DD}}.
Does the same day at 5pm work, or would another day be easier?
Payment reminder
Hi, just a note that payment for the {{MM/DD}} session is still outstanding.
You can settle it at the clinic or by transfer. Any questions, let me know.
Follow-up after the appointment

Reactivating a lapsed client
Hi, it's been a while. Want me to find you a slot?
If you'd rather I didn't message again, just say so and I'll take you off the list.
That last line looks like it costs you business. It is what keeps your number clear of spam reports.
When to send each one
- Main reminder: 24 to 48 hours before. Enough room to reschedule without forgetting again. Under 24 hours and you can no longer fill the slot.
- Second reminder: only for long or expensive treatments. One reminder per appointment is enough in most practices.
- Follow-up: 24 to 72 hours after.
- Avoid late-night sends and respect the recipient's time zone. A reminder at 11:40pm does more harm than good.
Mistakes that get you blocked
- Writing as a company instead of a person. "Dear customer, we are writing to inform you" is the exact formula people mute.
- Not identifying yourself. If the client hasn't saved your number, always open with who you are.
- Sending the identical text to hundreds of people on the same day. Spread it out and vary the wording.
- Giving no way out. A message with no way to reply or opt out ends up reported.
- Asking for sensitive data over WhatsApp. Medical records, results and payment details don't belong here.
